The new roles feature allows users to create the ideal admin access levels for each role in your organization.
When creating the new admin portal, we realized that user permission levels differ not only by role in an organization, but by the organization themselves. That's why we created the new roles feature in the Onosys admin to allow custom admin access levels that fit the access levels you want for your organization.
Role Overview
Roles are how admin access levels are defined for users of the Onosys admin. To assign admin access, first create a role and select what page(s) of the admin the user will have access. Each page has further permissions that consist of List, View, Edit, and Delete allowing fully granular permission levels across the admin.
Roles are then applied to a user in the user management section. Roles can, and should, be assigned to multiple users, and each user has to have at least one role assigned to have admin access. Multiple roles are able to be added to a user to give a combination of access that best matches the access level for those users.
How to Create a New Role:
Roles are located under the Users section of the admin. After clicking Users, click Role Management and the list of roles will appear. The columns show the Role Name, Description, and Actions. The blue pencil is the edit feature and the garbage can is the delete feature. At the top right is the + Create Role button.
Role Settings
Clicking + Create Role opens a dialogue of the role settings. In the left hand side, there is where the name and description are added. The description is optional, and displays on the roles list page to give an overview of the role.
On the right hand side are the permission levels granted to the role. They represent each section of the admin, down to each individual page and, in some cases, setting. Each has an arrow button that expands the section to show the settings, and any nested settings/pages. For example: Restaurants has several nested pages that will appear under the Restaurants section.
There are access levels under each page. Above, you'll notice "View, List, Create, Edit, Delete" checkboxes. These allow the user to access to a certain page for the following:
- View - View the page/settings
- List - Access the list for the page/settings
- Create - Create new records for thepage/settings
- Edit - Edit or make changes to records for the page/settings
- Delete - Delete records for the page/settings
Examples:
- Full access to a section: all of these settings would be checked.
- View only access to the list and setting: View and List access. Create, Edit, and Delete unselected.
- Edit access, but no create/delete access: View, List, and Edit checked. Create and Delete unselected.
Assigning Roles to Users
After creating a role comes the important part: Assigning it to a user. In the same Users section, click User Management. Filter the list for the user(s) that will have the role applied. Once the user is found, click the blue edit pencil under Actions in the table.
Under User Info, click the Save & Continue button. Add the restaurants the user should have access under the Restaurant Access section and click Save and Continue. In the Role section, add the role(s) that best fit the user. More than one role can be added.

There are times when a permission needs to be added or removed from an already created role. For this, we have the edit role feature. In the list view, under the Actions column, click the blue pencil:
Delete a Role
Have to delete a role for some reason? Under the list view of the section, a user can delete a role by clicking the trash can. This will delete the role and remove it from any user it is applied. Any previous changes in the admin made by a user using the role will remain in place.
